Information We Collect
We collect account details such as your email address, organization membership, and role; inventory and transaction data you enter; card images you choose to capture; device and request metadata needed to secure and operate the service; and messages you send to us.
Founding Access Requests
When you request founding access, we collect your name, email address, optional business name, active-inventory range, show cadence, primary workflow goal, consent record, and limited request metadata used to prevent abuse. We use this information to review fit, plan the founding cohort, and contact you about StockDex Pro access and launch. Requesting access does not create an account or collect payment.
How We Use Information
We use information to authenticate operators, isolate organization workspaces, identify and manage inventory, generate labels and storefronts, record sales, troubleshoot failures, prevent abuse, improve card recognition, and communicate about the service.
Card Images and Model Processing
Card images may contain business-sensitive inventory context. When a recognition feature is enabled, processing may run on your device, on StockDex Pro-operated infrastructure, or through a contracted GPU-infrastructure provider. Enabled processing paths use encrypted transport, tenant-scoped job records, bounded retention, and provider terms that prohibit using submitted images to train general public models without authorization.
Search and Catalog Providers
When market-source discovery is used, StockDex Pro sends public card identity terms—such as card name, set, and number—to a search provider. We do not include your cost, notes, customer information, or organization identity in that query. Search results are used transiently and are not stored as your price book.
Public Pages
QR item pages and vendor storefronts are intentionally public. They may show card identity, condition or grade, availability, and asking price. They do not intentionally display cost, margin, private notes, or operator history. Anyone with a public QR or storefront link may view it.
Service Providers and Disclosure
We may use infrastructure, security, communications, catalog, search, and payment providers to operate StockDex Pro. They receive only the information needed for their function and are subject to their own terms. We may also disclose information when required by law, to protect rights and safety, or as part of a business transaction.
Retention and Security
We retain pending founding-access requests for up to 12 months after the most recent request unless you join or ask us to delete the request sooner. If you join, the applicable account-retention rules take over. A limited suppression record may be retained to honor an unsubscribe request. Other information is retained for as long as needed to provide the service, meet contractual or legal obligations, resolve disputes, and maintain security records. We use access controls, tenant-scoped authorization, transport encryption, narrow public views, and deployment checks, but no system can guarantee absolute security.
Your Choices
You may unsubscribe from founding-access messages at any time or ask us to access, correct, export, or delete applicable information. Some records may be retained when required for security, financial, legal, or contractual reasons. Organization owners control many workspace records and may need to handle operator requests.
Children
StockDex Pro is a business service and is not directed to children. We do not knowingly collect personal information from children through the public website.
Changes and Contact
We may update this policy as the product or law changes. We will post the new effective date here. Questions and privacy requests can be sent to [email protected].
